Three Counties Dog Rescue takes your privacy seriously and we are committed to protecting your personal information. This policy sets out how we use the information that you give us to help further our work in rescuing and rehoming dogs and cats.
We are registered with the Information Commissioners Office (Reg. No. ZA311216)
Three Counties Dog Rescue may update this policy from time to time. This policy is effective from 1st May 2018
Data Protection Law
Data Protection law changes on 25th May 2018.The new law says that the reasons we can use your personal data include:
- when you consent, or
- when we need it to meet a legal duty, or
- when it is in our legitimate interest
Three Counties Dog Rescue takes Data Protection seriously and we comply with the law. All forms and transactions on our website (www.threecountiesdogrescue.org) meet with Data Protection requirements. You can get in touch with us at any time to opt out of all news, fundraising and events communications.
Who we are
By Three Counties Dog Rescue we mean:
The Charity, Three Counties Dog Rescue (registered charity number 1170606) and
3CDR Trading Ltd (registered company number 10573152), which is our trading arm, where 100% of profits go to the Charity.
What we collect
- Three Counties Dog Rescue collects information from people when we home a dog or cat with them or when they relinquish a dog or cat. The information collected includes name, address, phone and email details. We use your contact details to stay in touch as agreed as part of the rehoming process.
- If you take up the option of four weeks free pet insurance we send your name, address and phone details to Petplan.
- We will only use your name and contact details to email you with updates about Three Counties activities and fundraising if you agree that we can.
- We also hold some of your contact details if you support one of our fundraising events such as our calendar competition or a sponsored walk.
- If you make a donation to Three Counties Dog Rescue we will ask for information that enables us to administer your donation. This will normally include your name, contact information, such as address, email or telephone number, payment information and Gift Aid status.
- If you join the “Sponsor a Dog scheme” we will hold sufficient details to enable us to administer your sponsorship.
- If you purchase any items through our website we will only use your details to supply the items ordered.
Other details that we may ask for and keep on record are:
Donation history – An accounting record of the donations you have given and the method that you gave them (and if you have signed a Gift Aid declaration).
Animal information – Information about a dog or cat that you have adopted from us, fostered, relinquished or had microchipped with us.
Source information – Where your contact information has come from. E.g. if you adopted a dog or cat or if you took part in a fundraising event.
If you think any of the information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible at the above address. We will promptly correct any information found to be incorrect. Notifying us of any change of address is important.
From time to time we may contact you to ensure that the information you have provided us with remains accurate and up to date.
Three Counties Dog Rescue do not share, sell or swap your information with other organisations to use for their own marketing. We will keep your information safe and private.
Like all organisations, we may comply with requests for the disclosure of personal information where this is required or permitted by law. This could include requests from law enforcement or tax agencies (e.g. submitting our gift aid return to HMRC).
We will also supply your contact details to the company holding your pet’s microchip details.
Contacting you about news, fundraising and events includes:
- Events in support of the Charity. These are usually a mix of educational and fundraising events.
- Fundraising campaigns and activities (including gifts in wills, lottery and raffles)
- News about those who are part of the Three Counties community, including staff, volunteers and supporters, and issues affecting the Rescue.
- News, information and promotions about 3CDR Ltd. our trading arm, where all profits go to our Charity
- Issues and advice about animal welfare
- Promotion and advertising from Three Counties’ sponsors (within our own publications)
- Volunteering opportunities at Three Counties
- Surveys to ask how we can improve our services and communication
We may contact you to ask for your contribution towards our communications or publicity such as stories in the news or TV or in connection with events such as our annual calendar competition or a sponsored event.
Changing your consent

You can request to receive no further communications from the Charity from all channels. We will keep this on record to ensure that your wish is upheld.
You may request details of personal information which we hold about you under the Data Protection Act 1998. (The only personal information we hold will be name, address, phone numbers, email address and gift aid tax status). If you would like a copy of the information held on you, please write to the address above.
Tracking Data & Online Security
When we send out newsletters we can track how many users have opened and clicked on the email. We do not use this information at a personal level, rather we use it to understand open and click rates on our emails to try and improve them. If you want to opt out of our newsletters you can do so via the unsubscribe link at the bottom of every one we send.
Cookies and Web Privacy
We at Three Counties Dog Rescue are committed to respecting and protecting your online privacy.
Our website (www.threecountiesdogrescue.org) refers to the whole of our website. By accessing this website you are consenting to the way information is collected and used, as described within this Privacy Policy. In return, Three Counties Dog Rescue gives our commitment that we will use any personal data you provide only in ways that are compatible with our Privacy Policy. We do not use cookies on our website.
Google Analytics
Google Analytics provides anonymous statistics on website usage. They use cookies to track the source of a visitor, their session on the website (to associate multiple page views to one visit) and whether they are a new or returning visitor. No personal data is held.
Security
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.
Paypal – Payments and donations are handled by Paypal. They will use the data they receive for payment processing only. View PayPal’s user agreement to find out how they deal with privacy and security. We may respond to thank the donor and to establish if we can claim Gift Aid.
JustGiving – Donations and sponsorship pages in support of Three Counties Dog Rescue are handled by JustGiving.
You can view JustGiving’s terms and conditions and their privacy policy to find out how they deal with privacy and security.
If you agree to share your data with Three Counties Dog Rescue, we will receive the details you have given to JustGiving. We will store details of those who are, or have fundraised for Three Counties Dog Rescue, and those who have supported them if they have agreed via JustGiving to share this information. This information is for financial records. We will only contact the fundraiser (host of the JustGiving page) directly regarding their event for support and thanks (and if they wish to receive future communications) not those that have sponsored them.
JustGiving claim Gift Aid on our behalf, so Three Counties will not have a Gift Aid declaration on file for you if you have only given Gift Aid permission through this channel (and not directly with us).
If you have not agreed to share your details with Three Counties Dog Rescue, we will only receive the amount and message left, but no contact details.

Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites, and such sites are not governed by this privacy statement.
